Nudge Assistant — Privacy Policy
Last updated: September 2026
This Privacy Policy explains how Aakeeo Technologies Pvt Ltd, the operator of Nudge Assistant ("Nudge", "we", "us", or "our"), collects, uses, stores, and deletes personal information when you use nudgeassistant.com and the related email-based service.
Nudge is designed around a simple principle:
Nudge only knows what you choose to give it.
Nudge does not automatically connect to your mailbox and scan everything inside it.
1. Information we collect
Account information
When you sign up for Nudge, we may collect:
- your email address;
- your assigned Nudge address;
- email confirmation and verification information;
- timezone;
- onboarding responses; and
- account status.
Emails you send to Nudge
When you Cc, Bcc, forward, email, or reply to Nudge, we may store and process the message and related metadata.
This may include:
- sender;
- recipients;
- subject;
- message body;
- timestamps;
- thread information;
- attachments;
- authentication information; and
- other relevant email headers.
Information Nudge derives
Nudge may create structured information from content you provide.
Examples include:
- follow-ups;
- open commitments;
- deadlines;
- expected dates;
- people and organizations;
- relationship context;
- pending actions;
- preferences;
- working patterns; and
- conversation summaries.
Your Nudge memory
Nudge may maintain a working profile or memory about you so that you do not have to repeatedly explain how you work.
This may include:
- your timezone;
- preferred follow-up behavior;
- communication preferences;
- people or organizations you regularly work with;
- instructions you have given Nudge; and
- patterns learned from your interactions with the Service.
2. What Nudge does not automatically access
Nudge does not automatically connect to or crawl your entire email account.
It cannot see emails you have not chosen to send to it or otherwise provide through features you deliberately enable.
A conversation that never reaches Nudge is not part of Nudge's working context.
3. Why we process your information
We use information to provide and operate Nudge.
Depending on the features you use, this may include:
- reading conversations you provide;
- detecting commitments;
- identifying open items;
- maintaining context;
- deciding when something may require attention;
- preparing reminders;
- preparing morning briefings;
- responding to your emails;
- remembering your preferences;
- preparing requested summaries or reports;
- improving service reliability;
- preventing fraud and abuse; and
- diagnosing technical problems.
Where applicable law requires consent or another legal basis for processing, we will process personal information on an appropriate legal basis.
4. Automated and language-model processing
Nudge uses automated language-processing systems.
These may include third-party and proprietary large language models and related machine-learning services.
Information you provide may be processed by these systems to:
- understand conversations;
- extract relevant context;
- classify information;
- identify commitments;
- generate summaries;
- generate reminders;
- respond to instructions;
- prepare reports; and
- perform other features you request.
The specific models and providers may change as Nudge evolves.
5. Model training
We do not use your private email content to train publicly available foundation models ourselves.
Where third-party AI or machine-learning providers process information on our behalf, we intend to use business, enterprise, API, or equivalent service configurations appropriate for processing customer data.
Our underlying providers and technical architecture may change over time.
6. Attachments
If you send attachments to Nudge, they may be:
- stored;
- parsed;
- converted into text or other machine-readable formats;
- summarized;
- analyzed; or
- processed by automated systems,
depending on the features you use.
Nudge does not receive attachments from emails you have not sent to it.
7. Web research and external tools
Some current or future Nudge features may use external tools such as web search, document-processing services, or reporting systems.
When you request such work, relevant information may be sent to those services where reasonably necessary to complete the task.
We aim to limit shared information to what is reasonably necessary for the requested function.
8. Service providers
We may use third-party providers to operate Nudge.
These may provide:
- email delivery and receipt;
- hosting;
- storage;
- databases;
- security;
- analytics;
- automated language processing;
- error monitoring;
- document processing; and
- other infrastructure.
These providers may process information on our behalf.
The providers used may change as the Service evolves.
9. How long we keep information
Messages and related information may be retained while your account remains active so Nudge can maintain context and memory.
We may also retain certain operational or security records for reasonable periods where required for:
- security;
- fraud prevention;
- debugging;
- legal obligations; or
- dispute resolution.
We aim not to retain personal information longer than reasonably necessary for the purpose for which it was collected, subject to applicable legal requirements.
10. Account and data deletion
You may request deletion of your account and associated data.
We may require verification of account ownership before deletion.
Our deletion process may include:
- providing your email address and Nudge address;
- receiving a verification code;
- confirming the deletion request;
- receiving a final confirmation email describing what will be deleted; and
- confirming permanent deletion.
Once deletion is completed, we may permanently remove:
- messages;
- threads;
- follow-ups;
- preferences;
- profile information;
- remembered context; and
- other account data.
Deletion may not be reversible.
Your former Nudge address may be permanently retired and not reassigned to another user.
Certain records may be retained where required by law or reasonably necessary for security, fraud prevention, or dispute resolution.
11. Security
We use reasonable technical and organizational safeguards designed to protect user information.
These may include:
- email authentication checks;
- account isolation;
- access controls;
- restricted sending behavior;
- identity verification through control of the user's mailbox;
- abuse detection; and
- infrastructure security measures.
No electronic system can guarantee absolute security.
12. Email authentication
Nudge may use email authentication mechanisms such as SPF, DKIM, and DMARC to help determine whether an incoming message is associated with the sender it claims to come from.
Messages that fail required authentication checks may be rejected or discarded.
13. Separate user accounts
If two Nudge users appear on the same real-world email thread, each user's Nudge account remains separate.
One user's:
- memory;
- notes;
- follow-ups;
- preferences; and
- account context
are not automatically shared with another user.
14. Information about other people
Emails sent to Nudge may contain personal information about people other than the account holder.
If you provide third-party personal information to Nudge, you are responsible for ensuring that you are permitted to provide and process that information.
We process that information as necessary to provide the Service and for the other purposes described in this Privacy Policy.
15. International processing
Depending on the infrastructure and service providers used, information may be processed or stored in countries other than the country where you live.
Where applicable law requires safeguards for international data transfers, we will use appropriate mechanisms.
16. Your privacy rights
Depending on applicable law and where you live, you may have rights relating to your personal information.
These may include rights to:
- obtain information about processing;
- access certain personal information;
- correct inaccurate information;
- request deletion or erasure;
- withdraw consent where processing depends on consent;
- raise a grievance or complaint; and
- exercise other rights provided by applicable law.
To make a request, contact:
privacy@nudgeassistant.com
We may need to verify your identity before completing a request.
17. Privacy notice and consent
Where we rely on consent to process personal information, we will provide a clear notice describing the personal information involved and the purpose of the processing before or at the time consent is requested.
Consent should be given through a clear affirmative action.
Where applicable, you may withdraw consent through the methods we provide, subject to processing that is otherwise permitted or required by law.
18. Children
Nudge is intended for business and professional use and is not designed for children.
Do not use Nudge if you are below the minimum age required to consent to digital services in your jurisdiction.
19. Changes to this Privacy Policy
We may update this Privacy Policy as Nudge evolves.
If an update materially changes how we handle personal information, we will provide reasonable notice where required.
